Administrative Officer
International Association of Deposit Insurers (IADI), a Bank for International Settlements (BIS) hosted organization, is hiring an Administrative Officer.
This role is based in Basel, Switzerland; however, thanks to our status as a BIS hosted organization, we can hire globally and welcome applications from candidates of all nationalities and located anywhere in the world. Relocation support is available for the successful candidate and their dependent family members.
Purpose of the job:
- Supporting the organization with all administrative related activities by offering operational and day-to-day administrative support.
- Acting as the point of contact for IADI participants and external collaborators.
- Performing personal assistant duties for the Secretary General and the Secretariat senior management staff.
Principal Accountabilities:
- Carrying out office and administrative tasks.
- Organizing and coordinating logistical aspects of in-person, hybrid, and virtual meetings, including planning, room booking, registration forms, room set up, virtual tools set up, catering, setting up registration and related logistics.
- Managing the IADI service e-mail account, answering filtering, and forwarding electronic correspondence and telephone calls.
- Responding to IADI participants’ logistical requests.
- Maintaining up to date the IADI membership and participants contact list and other internal databases, such as conference invitations, IADI events.
- Disseminating meeting documents and logistical information to IADI members and stakeholders, uploading documents on IADI restricted and public websites.
- Reviewing and editing written material (such as presentations, publications), including proofreading and ensuring that documents follow IADI formatting standards.
- Assisting with administrative aspects of surveys, public consultations, and other data collection activities.
- Managing the meetings, calendar, travel for the IADI Secretary General and assisting Secretariat senior management and staff in administrative matters and travel arrangements.
- Working with BIS standard software and special applications to create templates, individual forms, and presentations.
- Ensuring the archiving and electronic storage of meeting documents and other documents and providing expert level services with regard to record management and file management software applications, databases, and platforms.
- Performing any other relevant work as assigned or delegated by the Secretary General.
Qualifications, skills, and experience:
- Very good experience in an administrative role within an international environment.
- Good knowledge of Office 365 and other basic IT tools.
- Ability to communicate effectively and constructively both internally and externally with deposit insurers and representatives from a wide range of backgrounds.
- Good organization and time management skills, accuracy, and attention to detail.
- Excellent written and verbal English communication skills. Other major world languages desirable.
- Passion, drive, and energy to achieve agreed objectives in a structured and transparent manner.
