Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Gi Group SA in Basel. As an Office Manager and Receptionist, you will be responsible for providing exceptional support to our clients and colleagues.
Key responsibilities include:
- Offering general assistance to guests and ensuring a warm welcome
- Managing the processes for incoming and outgoing mail, handling deliveries, and coordinating with local delivery services
- Providing administrative assistance to colleagues in the office as needed
- Arranging interviews or meetings and coordinating travel and accommodation arrangements within Switzerland
- Collaborating with executive and senior administrative assistants to address requests and inquiries from senior managers
- Managing and ordering office and kitchen supplies, organizing catering for group meetings, and occasionally running errands
- Supervising kitchen areas to ensure they are well-stocked and tidy
- Serving as the contact point for external service providers related to building maintenance
- Planning and overseeing repairs, installations, and upgrades of office and kitchen equipment
- Assisting management in negotiating with office vendors and service providers, and implementing cost-saving and recycling initiatives
- Developing and upholding office protocols, facilities management, and maintenance procedures
- Supporting the organization and coordination of local and European events
- Developing and maintaining emergency response plans
Requirements:
- Previous experience in office management and reception in an international and multi-cultural environment would be advantageous
- Fluent in English and German
- Very good Microsoft Office skills
- Strong organizational- and excellent interpersonal skills with a strong customer focus
- Demonstrates flexibility and adaptability with a proactive, positive mindset
