Job Description:
  • Welcome visitors to the client offices, providing professional support where required to customers, visitors, staff, and external third-party contractors.
  • Provide day-to-day operational office coordination.
  • Offer first-level support to employees for AV, IT, and office-related topics.
  • Oversee mailroom activities, including incoming and outgoing letters, track activity, and courier services.
  • Collaborate with the Area Facilities Manager on health and safety compliance, including work permits, BCP, risk assessments, and accident reporting.
  • Work closely with handymen or technicians to ensure smooth daily operations.
  • Coordinate Switchboard activity, handling inbound and outbound calls according to client procedures.
  • Perform general office administration and inventory tasks as required.

Person Specification/Requirements:

  • Previous experience in office management, front-of-house, reception, or customer-facing roles (essential).
  • Strong administrative and communication skills.
  • Good working knowledge of Microsoft Office packages and IT literacy.
  • Numerical skills and some financial acumen.
  • Excellent accuracy and attention to detail.
  • Fluent German is a must; French and English basic verbal knowledge also required.
