Administrative Support Specialist

About the Role
We are seeking an enthusiastic and driven receptionist to join our Front Desk Team. The successful candidate will be responsible for ensuring the smooth operation of the reception area and handling organizational and administrative tasks.
Main Responsibilities:
- Welcome and assist customers and guests, including registration and deregistration, and bid them farewell.
- Answer and forward telephone calls and related messages.
- Manage postal services, including internal distribution and franking.
- Oversee the cash register.
- Handle organizational tasks, such as ordering and distributing coffee and other supplies.
- Maintain the reception area and meeting rooms, including arranging flowers and maintaining tidiness.
- Assist with minor project work.
- Perform various administrative duties.
- Provide organizational support for events.
- Ensure the overall presentability of business premises, including flowers and tidiness, from a reception perspective.
- Organize internal catering for lunches, snacks, and other events.
- Manage mail distribution and franking.
- Support telephone operators, including occasionally deputizing for them.
- Undertake substitute tasks as needed by the Facility Manager.
Requirements & Skills
- Basic commercial training or equivalent experience.
- Experience in the gastronomic or hotel sector is an advantage.
- Proficiency in German and English; French language skills are advantageous.
- Good knowledge of MS Office, particularly Outlook.
- A proven and convincing track record in a similar position, either as an employee or in a sole responsible capacity.
- Pleasant charisma.
- Excellent manners and a confident, well-groomed, and representative appearance.
- Independence, reliability, and discretion.
- A strong service orientation.
- The ability to work under pressure and adapt flexibly, including covering vacations and sick leave.
- Very good organizational skills, a team-oriented, and supportive personality.
