**Job Title**
Administrative Assistant for European Commercial Organization
**Responsibilities**:
The Administrative Assistant will be supporting the President of EUCAN Region and EUCAN Leadership team with general administrative support.
Main responsibilities include:
- General administrative support in all areas for EUCAN Leadership team and other key stakeholders
- Coordination and organization of administrative activities and projects, such as the organization of internal and external meetings including business events, travel and expense management
- Interact with peers at the Headquarters in Switzerland and other affiliates when necessary, and proactively coordinate administrative requests, meetings and processes
- Coordinate & providing support in the induction process for other administrative assistants in the EUCAN affiliates including back up during holidays.
- Back up during holidays of Global Commercial Assistants at Allschwil
- Responsible for uploading contracts for signature and in Veeva CORS
- Support the growth of the EUCAN Region from an administrative and office, management perspective, e.g. facility management, procurement including vendor management, expense reporting, creating PO’s archiving, etc.
- Support with personnel administration tasks, e.g. working time records, absence management, etc.
- Coordinate new hire entries, prepare and support hiring managers with onboarding of new employees including providing access to different systems
- Coordinate with IT in arranging IT equipment e.g laptop, iphone etc.
- Organize interviews in collaboration with HR
- Participate in relevant meetings, take minutes, and drive administrative actions
- Independently and pro-actively approach administrative tasks and regularly provide status updates to key stakeholders
- Maintaining the office infrastructure using corporate support functions like IT and Facility Management
- As needed/requested, working on specific projects
- Post management as required
- First point of contact inside and outside of the organization
- Manage all relevant Idorsia systems to ensure they stay up to date
- Veeva Quality Expert:
- The Veeva Experts are appointed by the departments based on their knowledge of the department QS Document structure and organizational structure
- The Veeva experts are also expected to be comfortable with the Veeva Vault Quality activities as they will have to perform advanced activities
- Before taking on Veeva experts’ activities a full training package will be provided and is the condition for performing the expert activities.
- Suitable qualification in commerce or business
- Five or more years of experience in an Administrative Assistant role in a multinational company (ideally within the Pharmaceutical /Biotech Industry)
- Experience in office management
- Have a basic understanding of project management
- Advanced computer skills including experience with MS Office tools & SharePoint
- Ability to perform several tasks simultaneously and to work in a structured manner
- Ability to prioritize, dealing with changing priorities and workload
- Excellent team player as well as being self-disciplined
- Excellent communication skills
- Ability to coordinate Teams
- Ability to work independently with high customer orientation and pro-active approach to deliver high-quality results
- A strong service orientation
- Efficient and effective verbal and written communication skills in English and German. French as an added value
- Strong internal and external stakeholder management skills
- Pragmatic attitude and ability to learn quickly
- Inclusiveness and effective teamwork and collaboration skills
- Knowledge of Veeva Vault Quality system a big plus
