FYTE is currently recruiting for an Executive Assistant to the CEO & Founder of a luxury goods company (150 employees).
The role is based in Geneva (city center) in a beautiful office which is the company HQ. This position will provide comprehensive administrative support to the CEO. This includes managing complex and detailed executive calendars across multiple time zones, arranging meetings and appointments, keeping track of key priorities and deliverables for the department, and arranging travel itineraries.
Additionally, this position serves as the first point of contact as well processing of expense reports, handling daily incoming and outgoing mail.
The Executive assistant will also be involved in maintaining a good balance between CEO private and professional agenda and be in charge of some of his personal logistics.
The Executive Assistant to the CEO will also bring outstanding organizational skills along with tact, poise and excellent people skills.
A strong customer focus, proactive attitude, curiosity and the ability to prioritize a demanding and high visibility workload while maintaining collaboration will also be important qualities to ensure success in this position.
**Your main responsibilities will be**:
Travel Management Meastro, from flights to accommodation, logistic, you will be the mastermind behind the CEO’s travel arrangements. Your knack for optimization will ensure every journey is both cost-effective and time-efficient.
**Building bridges**: you will forge strong relationships across all levels of the company fostering collaboration and teamwork
**Company presentation**: you will support the CEO is crafting compelling presentations thanks to your skills in PowerPoint you will know how to keep content engaging, fresh and impactful
**Others**: you will also handle a variety of administrative tasks and provide additional support as needed
**Your profile**:
You possess a Federal diploma or higher, along with a certification as an Executive Assistant Holding a Bachelor’s degree in business administration or other relevant disciplines would be advantageous.
With at least 5-10 years of relevant experience in a similar role within a luxury / services environment you're well-equipped to excel. Throughout your career you've demonstrated discretion and trustworthiness, especially when handling confidential information.
You demonstrate proficiency in the Microsoft 365 package (Outlook, Word, Excel, PowerPoint, OneDrive, Teams), coupled with a strong grasp of contemporary office IT systems and business tools.
You possess excellent written and spoken Italian, English and French, this is essential for effective communication and collaboration in a global setting.
You are organized, responsive, energetic and resilient and you have a proven track record of organizing flights, logistics, and events.
You have stellar communication skills and excel in stakeholder management.
You are detail-oriented and approach your work with a high degree of accuracy. Challenges don't deter you; instead, you're known for your strong problem-solving skills and your proactive approach.
You can work autonomously and have a knack for anticipating organizational needs. Your strong intellectual curiosity and creative thinking contribute to a broader understanding of our organizational goals and challenges.
