Ihre Aufgaben als Executive Assistant (m/w/d)

  • Bereitstellung von administrativer Unterstützung für den Vorstandsvorsitzenden und andere Mitglieder des Executive Teams nach Bedarf
  • Regelmäßige Kommunikation mit wichtigen internen und externen Stakeholdern der Organisation
  • Verwaltung administrativer Vorkehrungen für Vorstandssitzungen, einschließlich Ausschüssen
  • Zusammenarbeit mit anderen Assistenten von Vorstandsmitgliedern und dem Executive Committee
  • Terminplanung
  • Koordination von Reise- und Unterkunftsarrangements
  • Vorbereitung von Dokumenten und Korrespondenz nach Bedarf
  • Beantwortung von Telefonanrufen, Weiterleitung von Nachrichten und Begrüßung von Besuchern
  • Bearbeitung von Spesenabrechnungen und Rechnungen
  • Unterstützung der Vorstandsmitglieder bei Bedarf



Ihre Qualifikationen und Fähigkeiten:

  • Mindestens 5 Jahre Erfahrung als Executive Assistant, davon mindestens 3 auf Senior-Ebene
  • Umfassende Computerkenntnisse und gute Kenntnisse in Microsoft Office
  • Fähigkeit, unter Druck zu arbeiten, um Fristen einzuhalten, dabei jedoch die Qualität beizubehalten
  • Starkes Augenmerk auf Details
  • Die Executive Assistant (m/w/d) muss flexibel arbeiten, um den geschäftlichen Anforderungen gerecht zu werden
  • Erfahrung im Umgang mit hoch vertraulichen Informationen
  • Fähigkeit, Probleme und Bedürfnisse im Zusammenhang mit Terminen, Reisen und Besprechungsanforderungen vorauszusehen
  • Fähigkeit, in einem multikulturellen Team zu arbeiten und mit verschiedenen Personen aus unterschiedlichen Funktionen zusammenzuarbeiten, um Ergebnisse zu erzielen
  • Effektive Zusammenarbeit mit anderen persönlichen Assistenten zur Unterstützung der administrativen Bedürfnisse der Mitglieder der Führungsteams
  • Fähigkeit, Aufgaben zu übernehmen und bis zum Abschluss zu verfolgen
  • Gute Organisationsfähigkeiten und die Fähigkeit, mehrere Aufgaben parallel zu bearbeiten und die eigene Arbeit priorisieren
  • Effektive Kommunikation mit verschiedenen Ebenen im Unternehmen
  • Fließende Englisch- und Deutschkenntnisse sind unerlässlich
