We are seeking an Executive Administrative Coordinator to support our team in Basel, Switzerland. This is a long-term temporary position with the option for permanent employment.

The successful candidate will be responsible for:
  • Offering general assistance to guests and providing exceptional customer service.
  • Managing the processes for incoming and outgoing mail, handling deliveries, and coordinating with local delivery services.
  • Providing administrative support to colleagues in the office as needed.
  • Arranging interviews or meetings and coordinating travel arrangements within Switzerland.
  • Collaborating with executive assistants to address requests and inquiries from senior managers.
  • Managing and ordering office supplies, organizing catering for group meetings, and running errands as required.
  • Serving as the contact point for external service providers related to building maintenance and facilities management.
  • Planning and overseeing repairs, installations, and upgrades of office equipment as needed.
  • Assisting management in negotiating with office vendors and implementing cost-saving initiatives.
  • Developing and upholding office protocols and procedures.
  • Supporting the organization and coordination of local and European events.


Requirements:
  • Prior experience in office management and reception in an international environment would be beneficial.
  • Fluency in English and German is required.
  • Excellent Microsoft Office skills and strong organizational abilities.
  • Demonstrated flexibility and adaptability with a proactive, positive mindset.


This role offers a competitive salary of approximately 50,000 CHF per year, depending on experience and qualifications.
