**The Role**:
We are looking for a responsible part-time Administrative Assistant & EA to perform a variety of administrative and clerical tasks.

Your duties include providing support to our team members, managing our company’s general administrative activities, ensuring smooth running of our Swiss office, and assisting the C-Suite with ad hoc requests.

**Responsibilities**:

- Office Management:_
- Pick up scan and distribute mail, contact stakeholders when needed
- Manage Petty Cash
- Be the point of contact for all our utility suppliers (electricity, internet, landlord, etc.)
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Plan and organise local and global team events
- Executive Assistant: _
- Handle ad hoc requests and queries from executives
- Support the senior management team with travel arrangements

Administration:

- Manage global vehicle fleet
- Manage company device fleet
- Be the point of contact for Swiss insurance both for internal and external stakeholders
- Support with illness and accident claims
- Support new team members with work permits in Switzerland

**Start date**: asap

**Status**: part-time 50%, permanent employment

**Reporting to **the HR Manager

**Requirements**:

- Fluent in French and English, German is a plus
- Knowledge of office management systems and procedures
- Working knowledge of office equipment like PCs, Mac, printer, etc.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills to communicate clear and concise messages
- Strong organizational skills with the ability to multi-task
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant, or qualification as an Administrative assistant or Secretary will be a plus
- Present on site at least twice a week
