**Executive Personal Assistant (80 - 100%)**:
Joining a respectful, composed, and cosmopolitan couple, you will work closely with the Managing Director to go above and beyond to ensure all needs are exceeded and that everything runs smoothly at all times. You will be involved in all aspects of supporting the Foundation, given exciting projects to run with and the autonomy to make the role your own. This position suits a discrete person with impeccable organizational and people skills. You will support new endeavors with a view to the longer term, seeking to identify any issues that may lie ahead and running with projects from inception to completion. No two days will be the same, and change will be constant. Your role comprises the following core duties:

- Administration of private family affairs
- Supporting (Foundation) projects in close cooperation with the Managing Director
- Office and travel management
- Property and insurance management

**What will you be doing?** The role will allow you to work onsite and remotely, and you must be flexible to occasionally accompany meetings abroad and take notes. From prioritizing requests and ensuring effective use of the time available to arranging complex travel for both business and private trips, you will be involved in maintaining the family’s relationships and organizing business and sporadic social events. You will ensure all related correspondence and relevant materials are produced promptly and accurately and will prepare briefing materials ahead of time. Equally important is keeping aware of the bigger picture and having a good knowledge of the Foundation’s ongoing projects. These reflect interests and activities spanning Health, Arts, Education, and Conservation.

You will act as the point of contact for the household staff. Hence, you must be experienced in handling domestic issues independently and with common sense. Further projects include coordinating personal and business meetings and preparing basic financial statements. Likewise, you will support the family’s real-estate handlings. Thus, managing property renovations with budgets and negotiating rates with external suppliers will be part of your work. Linked to this, you will be responsible for monitoring fees and conditions and coordinating all payments involved. Regarding travel management, you will plan and organize diaries and act as a point of contact between the family and aircraft operators. You also take care of the insurance management, e.g., the preparation of documents, the negotiation of premiums, and the processing of claims with insurance brokers. Not least, you will foster a strong rapport with the family and pay special attention to the facility and office management and update admin processes when necessary. You will be responsible for IT coordination, invoice payments, and managing the household staff, including maintaining personnel records, contracts, vacations, insurance documents, and supporting the recruitment of new staff. Your entry qualifications associated with this position are:

- A commercial or bachelor’s degree coupled with a minimum of **10+ years of working experience** as a Personal Assistant or Senior Executive Assistant, ideally with evidence of having supported a UHNWI. Your personal fit will be essential, and interest in philanthropy is desirable.
- Ideal background: Private Equity, Family Office, Foundation, Deluxe Hospitality, or International Real Estate.
- Ability to work independently in a small but entrepreneurial environment for a mission-driven family.
- Ability to exercise sound judgment in various situations, strong communicator with exemplary follow-through skills.
- «Can do» approach to work, seamlessly moving from the business to private spheres.
- Apart from managing diverse projects, a will to handle the simpler tasks of the job with passion and pride. As the role varies, it requires a person who can wear many hats, adapting to the tasks at hand.
- Since projects will arise that cannot be planned or predicted, flexibility is indispensable, and the same applies to good common sense, always anticipating what may be required next.
- The mandatory languages are **German** and **English**, of which business fluency in English is a must.
- Full proficiency with **MS Office** and modern business devices, collaboration tools, and business apps.
- Super friendly, approachable, bright, and professional manner. Desire to achieve high standards with any given task.
