For our Search & Evaluation and Scientific Innovation organization based at our Headquarters in Lausanne, we are looking for a
**Executive Assistant Search & Evaluation and Scientific Innovation**
**Your responsibilities will be but not limited to**:
- Manage and coordinate all administrative tasks within the 8-person department:
- Organize internal and external meetings, conference calls and video conferences
- Establish expense reports via internal software
- Organize business trips, registration for conferences and seminars and prepare support documentation
- Prepare time sheet reporting of the department
- Handle department’s expense reports and coordinate with accounting department
- Prepare department’s budget for validation by Head of Department
- Participate in external partnering activities: search and filter new companies/requests and organize potential contacts
- Maintain the in-licensing deal flow database up to date, perform quality checks and prepare monthly dashboards for KPIs
- Coordinate the administrative monitoring and planning of internal projects and academic collaborations
**Requirements**:
- Business school diploma or equivalent
- Several years of commercial and administrative experience
- Excellent command of English and French
- Proficiency in Microsoft Office Suite and basic accounting expertise
- Multitasking, diligent and dynamic
- High level of pro-activity with a sharp focus for priorities
- Strong organizational and planning skills
- Flexibility and positive attitude to change
- Quality focused with a drive for continuous improvement
- Team player with an open mind
- Good interpersonal skills, ready to help attitude
