Executive Assistant

Purpose of the position:
The Executive Assistant (EA) serves as the liaison between departments and various internal and external stakeholders, as well as other members of the Leadership Team. The EA handles the administrative and logistical aspects of the head office's activities in Lausanne. In a crucial role as a facilitator and coordinator, the EA anticipates the Leadership Team's needs and finds solutions to various logistical and administrative challenges.
Positions Functions
Assistant to the General Manager and Leadership Team:
- Manage executive calendars, schedule appointments, and coordinate meetings.
- Handle travel arrangements, including flights, accommodations, and itineraries.
- Prepare, process, and track expense reports.
- Organize and prepare materials for meetings, including agendas and presentations.
- Ensure meeting rooms and technology setups are ready and functional.
- Follow up on action items and ensure timely completion.
- Act as a point of contact for internal and external stakeholders.
- Handle incoming and outgoing correspondence, including emails and phone calls.
- Assist in the coordination of projects and initiatives as needed.
- Maintain project documentation and track progress.
- Provide logistical support for events and special projects.
- Help maintain office supplies and equipment within the EA pool.
- Assist with the organization of company events and meetings.
- Ensure smooth day-to-day operations within the executive office.
Academic experience:
- Bachelor's degree or equivalent experience preferred.
- 5+ years’ experience in a similar position.
- Exceptional organizational and time-management skills.
- Strong sense of discretion and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize workload in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Dynamic, autonomous, proactive.
- Fluent in English and French (level C2).
