Executive Assistant

Our client is an international and very well-established bank in Basel.
On behalf of our client, Swisslinx is looking for a dynamic Executive Assistant with excellent organisational skills to work closely with the Head of one of the bank’s department.
This is a 12 months contract with possibility for extension and the latest start date possible is 1st of January 2024.
Your mission
- Schedules internal and external appointments; keeps the office diaries and files containing relevant documentation for forthcoming appointments and meetings up to date; coordinates the arrangements for meetings and prepares and distributes related documentation.
- Processes, prioritizes, and follows up on incoming and outgoing mail and phone calls; keeps track of pending correspondence and ensures timely follow-up; prepares draft responses, fields phone calls, responds to general requests and addresses issues as appropriate.
- Organizes business trips, arranges travel appointments, coordinates presentations and speeches, and liaises with other teams; compiles and processes all travel-related documentation and expenses.
- Prepares program for visitors; produces various types of internal and external correspondence.
- Under the supervision of the Coordination and Operations lead, coordinate recruitments, plan and prioritize any related tasks/demand.
- Assist in establishing and improving various business processes.
- Maintain contacts and manage requests in Dynamics 365 (CRM).
- Provide administrative support within the unit and with the other hub centres where necessary.
Your background
- 5+ years of experience of management secretary or executive assistance within a multinational environment (calendar management, managing communication and correspondence, business travel arrangements, business process and administrative support, document management)
- Experience of Microsoft Office 365 / Outlook
- Excellent communication skills
- Very good planning and organizational skills
- Ability to work in a collaborative way in a flat and multicultural environment
- Acts with tact and discretion and shows initiative.
- Fluent level of English
- Ability to start immediately or latest by 1st of January 2024
- Swiss/EU passport or relevant Swiss working permit (C, B, L, G, S, etc.)
