Group Executive Assistant

In this role, you will be responsible to support C-Level Executives assigned to you in all administrative matters including extensive travel arrangement.
**Your main responsibilities**
- Proactive management of the agenda of 1 to 2 Executives
- Plan and organise international travel arrangements and Visa requests, also in coordination with external travel agency.
- Manage the travel expenses and department invoices in alignment with the adequate budget
- Coordinate internal and external meetings, conferences and team activities, held locally and abroad
- Direct management of the agenda of the executives
- Ensure smooth communication and coordination processes especially with other Executive Assistants
- Complete and supervise administrative tasks (e.g. correspondence, expense reports, etc.)
- Perform general office duties (filing, archiving and collating information as assigned)
- Ensure the understanding and adherence to standard policies and procedures
**Your profile**
- Commercial Apprenticeship or Bachelor’s degree in business administration, or similar
- A minimum of 8-10 years of working experience as an assistant in a multinational organization
- Experience in interacting with Senior Executives (C-Level experience is a must) as well as interaction with Board Members
- Well ad versed and trustworthy in handling confidential information
- Impeccable communication skills in English are a must, any other language (Spanish, Italian, German) would be an advantage
- Very solid knowledge in handling MS Office programs
- Strong organizational skills with the ability to multitask and a pro-active approach to problem solving
- Flexible personality, reliable and resilient, with a very high degree of service orientation
- Excellent team player and first-class communication skills
