For our client, a top Professional Services firm and a leader in its industry, we are looking for an Team Assistant to support the Finance team (m/w/d) 60-80%. The company is based in the heart of Zurich.

Responsibilities

Support and Coordination in Financial Projects:

  1. Assist with daily administrative tasks related to two financial projects.
  2. Manage the process of obtaining necessary documents and signatures from relevant parties (financial institutions, subsidiaries).
  3. Coordinate with financial institutions to ensure compliance with their standards.
  4. Maintain an organized system for storing and tracking documents.

Team Support:

  1. Coordinate and schedule meetings, calls, and appointments with internal or external stakeholders.
  2. Oversee the maintenance of tax documentation, guarantees, audit confirmations, and assist in filing tax claims.
  3. Support the creation of internal agreements and other intercompany contracts.
  4. Assist in the development and distribution of newsletters.

Education

  1. Completed relevant vocational training or equivalent qualification.

Experience

  1. Prior experience in an administrative or project coordination role, preferably in an international setting.
  2. Experience working across multiple locations is advantageous.

Skills

  1. Strong organizational and time-management abilities.
  2. Excellent written and verbal communication skills in English; proficiency in another language is a plus.
  3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  4. Ability to work independently as well as collaboratively within a team.
  5. High attention to detail and accuracy.
  6. Proactive and self-motivated with a positive attitude.
