Role Description:
The Administrative Assistant provides essential support to ensure the smooth and efficient operation of the office or department. This role involves handling a wide range of administrative and clerical tasks, supporting team members, and acting as a key point of contact for internal and external communications. The ideal candidate is detail-oriented, organized, and capable of managing multiple priorities with a positive, proactive attitude.
Key responsibilities include:
- Managing daily office operations, including scheduling meetings, organizing files, and handling correspondence.
- Preparing reports, memos, invoices, and other documents as needed.
- Answering and directing phone calls and responding to general inquiries.
- Assisting with travel arrangements, expense reports, and calendar management.
- Supporting onboarding of new staff and maintaining office supplies and records.
- Coordinating internal events, meetings, and logistics.
- Maintaining accurate and up-to-date databases and filing systems.
- Providing general administrative support to managers and team members.
Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree is a plus.
- 1–3 years of administrative or office support experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills in English.
- Ability to handle confidential information with discretion.
- Time management skills with the ability to prioritize tasks effectively.
- A proactive, service-oriented attitude and a willingness to learn.
- Experience with office equipment and administrative software is an advantage.
