Role Description:

The Administrative Assistant plays a key role in ensuring smooth and efficient office operations by providing administrative and clerical support to teams and management. This position involves handling daily office tasks, coordinating meetings, managing communications, and maintaining records. The ideal candidate is organized, detail-oriented, and able to manage multiple tasks in a dynamic work environment.

Key Responsibilities:

  • Perform general administrative duties such as answering phones, responding to emails, and managing correspondence.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Prepare reports, presentations, and documentation as requested.
  • Maintain and organize filing systems (physical and digital).
  • Order and manage office supplies and ensure equipment is maintained.
  • Support onboarding of new employees and assist with internal communications.
  • Assist in organizing company events and internal meetings.
  • Liaise with internal departments and external vendors as needed.
  • Handle confidential information with integrity and discretion.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • 1–3 years of administrative or office support experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with collaboration tools (e.g., Teams, Zoom, Slack) is a plus.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks, work independently, and manage time effectively.
  • A proactive and professional attitude with a willingness to learn.
  • Experience in handling sensitive or confidential information is an advantage.
