Role Description:
The Administrative Assistant plays a vital role in supporting daily office operations and providing administrative support to teams, departments, or executives. This role includes managing schedules, organizing documents, coordinating meetings, and ensuring smooth communication within the organization. The ideal candidate is dependable, detail-oriented, and able to multitask in a dynamic environment.
Key Responsibilities:
- Provide general administrative and clerical support, including handling emails, phone calls, and correspondence.
- Schedule appointments, coordinate meetings, and assist with calendar management.
- Prepare and edit documents, reports, presentations, and spreadsheets.
- Maintain filing systems (electronic and paper) and ensure data accuracy and confidentiality.
- Order office supplies and coordinate with vendors and service providers.
- Support the planning and coordination of events, meetings, or travel arrangements.
- Assist with basic bookkeeping, invoicing, or expense reporting, if required.
- Help onboard new employees and maintain office records or personnel documentation.
- Perform other administrative duties as assigned by management.
Qualifications:
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- 1–3 years of experience in an administrative or office support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with tools like Google Workspace, Zoom, or Microsoft Teams is a plus.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to prioritize tasks, meet deadlines, and manage time effectively.
- Professional, proactive, and able to work independently or as part of a team.
- Experience handling confidential information with discretion.
