**Key Accountabilities/Core Job Responsibilities**
- Perform general clerical duties and provide assistance to all staff when required.
- Answer, screen, and route telephone calls in a professional and timely manner.
- Review and distribute daily internal/external correspondence; filing or forwarding all incoming invoices, authority and legal requests, bank statements etc.
- Maintain office and cafeteria supplies inventory and place orders when required.
- Ensure the operation of office equipment by completing preventive maintenance requirements and calling for repairs when necessary.
- Organization and coordination of internal/external meetings; providing support in meeting and greeting visitors, preparing and distributing agendas and other meeting materials, providing accurate logistics information, preparing meeting rooms and visitor badges, etc.
- End-to-end management and coordination of corporate events.
- Fulfill the Process Expert (PE) role for the organization, which includes amongst others entering purchase and contract requests and providing invoice approvals in the financial systems as well as maintaining appropriate files and records
- Serve as back-up to other support staff as needed.
- Perform ad-hoc tasks as assigned by the line manager.

**Education/Qualifications**
- High School diploma or equivalent.
- 1-2 years of administrative assistant related experience, or equivalent combination of education and experience.
- Excellent verbal and written communication skills in English and German.
- Advanced knowledge of MS Office and ability to familiarize with new systems.
- Quick learner and self-starter, able to operate at a high level with general instructions.
- Strong coordination, prioritization, and time management skills.
- Team-oriented, with a can-do attitude and desire to contribute productively.
- Proactive approach; identifies and resolves issues proactively.
- Open to suggestions and innovations for improvement.
- Professional demeanor and ability to maintain confidentiality.
