About the team you are joining

Reporting to the Director of Corporate Administration & Procurement, you will lead the Global Office Unit and be responsible for managing the IATA worldwide office portfolio of 55 offices across five continents (Europe, Americas, ASPAC, AME and North Asia).

You will coordinate all the activities directly related to the procurement and project management of all IATA offices worldwide, including the procurement processes to select the premises, with responsibility to procure and select all vendors that will provide goods and services for the projects.

You will be passionate about negotiation and project management with a track record of achieving impressive savings results and delivering multiple projects under high pressure and within the necessary timelines.

You should love shaping new, innovative and efficient office environments and you will share knowledge with cross-functional teams across five different continents, managing and influencing internal and external stakeholders while leading tasks effectively and rapidly.
You will have analytical and financial skills to develop financial analysis, manage and control budgets and forecasts, and effectively manage the Global Office Unit’s KPIs.
You will be responsible for developing and/or keeping IATA office standards, best practices and guidelines updated.

What your day would be like
- You will:

- Be responsible for the IATA office location selection worldwide, including real estate market analysis

and the procurement process for the final selection of the IATA premises.
- Manage procurement processes (globally) for all goods and services required for the implementation of

the IATA offices. Conduct direct complex negotiations, vendor selection, contract management with
the aim of delivering value, reducing expenses, sustaining favourable supplier relationships, mitigating
and reducing risk, and helping IATA meet its corporate goals.
- Provide leadership for all phases of the sourcing process, including project identification, data

collection, recommendation to the Management Committee, implementation and supplier
management.
- Manage projects throughout their entire lifecycle, support with the project financials for the business

ensuring that deliverables are completed within scope, time, cost and quality constraints.
- Manage multiple forecasts and budgets simultaneously.
- Use spent data analytics, market research, benchmarking and cost modelling to identify and leverage

high-value opportunities that deliver operational efficiencies to the business, meeting cost reduction
commitments.
- Develop a standardized measurement plan for the Global Office Unit’s KPIs.
- Build solid relationships across the regions with internal key business partners at all levels of the

organization and external stakeholders.
- Manage resources and cross-functional teams at a global level running multiple projects in parallel.
- Keep office standards/best practices and office guidelines/templates updated and develop new

standards and templates when required on an ad hoc basis.
- Drive the global implementation of the IATA office standards and best practices ensuring that offices

will meet the minimum building safety security and sustainable standards as established by the Global
Office Unit.
- Ensure that the IATA office lease database is kept updated.

- You have/are:

- University degree in Business, Finance, Engineering; certificate in project management is a plus.
- 10 years of international working experience in procurement and project management fields with a track record in finance.
- Outstanding leadership and project management experience in a high-pressure, multicultural and international environment.
- Strong communication, relationship management and negotiation skills with experience interacting with all levels of stakeholders.
- Proven track record of delivering savings objectives.
- Proven ability to lead and motivate teams and to foster collaboration across functional and culturally diverse teams.
- Comfortable operating under pressure, driving multiple projects simultaneously and delivering to tight deadlines.
- Proven ability to manage different priorities at the same time.
- Knowledge of construction engineering and global real estate market dynamics is desirable.
- Excellent oral and written communication skills in English; knowledge of additional languages would be an asset.
- Highly organized; able to combine a detail-oriented approach with a clear focus on the big picture to quickly reach the best solution.
- A strong sense of ownership and accountability.
- Self-motivated and energetic with a strong sense of initiative.
- People and team oriented.
