Reporting to the Transformation Lead, the Executive Assistant (EA) is responsible for providing a range of administrative support services to the Head of SIID to promote efficient delivery of services. The incumbent is expected to maintain high standards of professionalism, efficiency, personal communication, discretion, agility, proactiveness and independent judgment. In working closely with internal and external contacts, the incumbent deals with a wide range of highly sensitive issues under tight deadlines/pressures. The incumbent will also support Front Office colleagues in the provision of administrative services to SIID division.

Key Responsibilities

Reporting to the Transformation Lead, the EA will:

- Be responsible for time scheduling and management on behalf of the Head of SIID to include effective prioritizing and resolving related conflicts and competing demands
- Provide effective support in SIID Front Office on division deliverables, including, inter alia, meetings involving SIID Heads of Department (HoDs), budget process, organization of division/department meetings, preparation for SIID participation in Management Executive Committee (MEC) meetings
- Act as divisional focal point for travel (i.e., the “go-to” person for all inquiries related to duty travel), for the external training budget, for the recognition budget, and for cross-organizational projects such as Future of Work (FoW);
- Organize and coordinate all travel and related requirements for the Head of SIID, including: travel authorizations, flight tickets, hotel bookings, visas, airport transfers, petty cash claims and reimbursements
- Support Head of SIID in preparation for duty travel and organization of meetings during these visits. Coordinates preparations and follows up actions with relevant persons in relation to decisions made in these visits
- Keeps managers of departments/teams and SIID staff, and relevant stakeholders informed by providing relevant information, reports or status updates
- Acts as main divisional point of contact for all MEC-related issues including scheduling and documents;
- Supports and works collaboratively, and facilitate collaboration and coordination with and among managers in SIID as well as with others in diverse work groups/teams/task forces, across the Secretariat
- Works with the highest level of discretion in providing wide-ranging executive assistance support, setting and managing priorities and the workflow, as well as administrative coordination within the SIID Front Office
- Independently responds to extensive and diverse inquiries, and makes decisions when multiple courses of action are possible
- Routinely involved in relaying/processing/handling information of the most sensitive, diverse and confidential nature
- Routinely prepares / monitors / prioritizes correspondence on a range of topics on behalf of the Head of SIID, and prepares minutes of meetings
- Perform duties beyond the key responsibilities as advised by the Head of SIID.

**Qualifications**:
Essential:

- Bachelor’s Degree in relevant field (Business Administration, Communications, Health) or equivalent work experience

Experience

Essential:

- At least six years’ similar / related work experience in an international / public / private institution
- Previous experience in supporting a senior executive in the public/private sector for a multinational organization will be an added advantage;
- Track record of being a reliable and highly proactive team member with a focus on accuracy, quality, and professionalism;
- Proven ability to deliver results under tight timeframes and pressure;
- Experience solving problems with a customer-focused approach;
- Proven adaptability and flexibility in working in a complex and dynamic environment

Desirable:

- Previous experience in office coordination and management;
- Experience in travel arrangements, meeting and event organization;
- Knowledge of the Global Fund and its policies, processes and governance structure.

Languages:
An excellent knowledge of English and preferably a good working knowledge of French.

- Outstanding demonstrated skills in organizing, prioritizing, scheduling, planning and coordinating work and other activities internally and externally.
- Ability to help organize documents and information retrieval systems.
- Strong written and verbal communication skills to prepare correspondence on a range of topics and ensure quality of documents.
- High degree of judgment and tact in handling the most sensitive, diverse and confidential material.
- Proficiency in Word, PowerPoint, Excel and MS Outlook
