**Management Assistant**

**Primary Job Function**:
General office management for both Regulatory Affairs EM (10 persons) and EPD Licensing & Acquisitions (4 persons) departments, including internal and external correspondence, archiving, mailings, acting as communication interface with internal and external stakeholders and administration of travel management.

**Core Job Responsibilities**:

- Managing Outlook agenda, planning meetings and video conferences
- Coordinating training / team meeting logistics
- Managing business travels for both departments (booking travels, handling visa requests as well as travel expenses)
- Supporting / coordinating CDA’s & EPD L&A contract processes
- Creating new vendor profiles in SAP and corresponding PO’s in SAP for invoices and following-up until payments issued (incl. milestones instalments for L&A)
- Coordinating meeting requests for the L&A yearly international event

**Minimum Education**:

- Commercial education or University degree in Business Administration or equivalent experience

**Minimum Experience/Training Required**:

- Minimum 3 years of experience in a similar administration role
- Excellent command of English, German (additional language, i.e. French & Spanish are an asset)
- Full command of modern IT skills (MS Office) and SAP
- Team and service-oriented, well organized, good communicator, good team player, agile and flexible, able to adapt to changes
- Comfortable working in multicultural, dynamic, fast-paced environment
