**Lead Management Assistant**
**Full-time, unlimited contract, Location: Bern (Switzerland)**
Janssen Vaccines is recruiting for a Lead Management Assistant, located in Bern.
Performing numerous diversified administrative, secretarial and coordination tasks in all FH areas to support managers, departments, and the site. Take over deputy duties of Functional Home team leader.
**Key Responsibilities**:
- Performing numerous diversified admin tasks in the broad range or all FH responsible areas, e.g.
- Correspondence
- Scheduling
- Travels & expenses
- Maintenance of financial records, invoices, quotes
- Taking initiative on follow-ups, reminders & communications
- MS Office support, distribution lists, SharePoint sites
- Sorting & prioritization of tasks
- Data & document assembling, editing & filing
- Compiling statistics & information for further use
- Organizing and/or coordinating specific site support as required by the business, e.g.
- Commercial orders & office supplies
- On
- & offboarding
- Visits
- Coordinating & preparing business documents including support for content creation.
- Processing of all incoming management communication, infos & documents
- Preparing agendas & materials for executive meetings and executive visits.
- Establishing & maintenance of support systems for management
- Support structuring priorities for executive, incl. agenda management
- Liaison with other departments & outside agencies including senior level management
- Acting as deputy team leader
- Core team member of assistant focus group, leading focus group in collaboration with TL
- Take decisions for the assistant group in area of responsibility
- Supporting other Functional Home tasks as required, e.g. events or campaigns.
- Handling of confidential matters with absolute discretion, demonstrating good judgment
- Supporting the comms specialist in coordinating the communication content and the local comms strategies
**Qualifications**:
**Education**:
- Minimum University/Bachelors Degree or Equivalent, preferably in related area(s)
**Experience and Skills**:
**Required**:
- 2-4 Years Work Experience in similar area
- Deep Experience in secretarial support of senior management
- Fluent in English and German, while excellent written and verbal English skills are a must and good German skills are required equally
