**My duties**
- Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments
- Manage and prepare correspondence, communications, presentations and other documents
- Filing and retrieval of documents and reference materials
- Processing of invoices and purchase orders
- Answer and manage incoming calls
- Maintain departmental org charts and Outlook contact lists, and manage information on the GRA iNet
- Receive and interact with incoming visitors. Support GRA Leadership Team (GRALT) members during their visits to the site or with assigned tasks
- Orchestrate executive travel and participation in external meetings
- Prepare and support CMC meetings and follow-up activities from meetings
- Processing and maintenance of documents into Submission Repository System or other relevant systems
**My qualifications**
- Business administration, commercial degree or equivalent
- Experience in international environment, supporting a global function, as a personal/executive assistant
- Experience in Regulatory Affairs is beneficial
- Flexibility, ability to work under pressure, work outside office hours
- Excellent command of English, spoken and written, good command of German, spoken and written
- Proficient in MS office, Attention to detail, timely delivery and good sense of urgency/business relevance
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Strong work management including planning, prioritizing and organizing tasks to effectively meet deadlines and achieve specific results
