About the Job:

As Administrative and Financial Assistant, you will be responsible for organizational and administrative tasks for the Swiss Office and support with day-to-day operating expenditures, manage the office travels, and contact and check the local office supplies.

Key Responsibilities

Office management:

  • Support Financial & Administrative department with day-to-day operating expenditures against operating budgets to ensure efficient usage of resources.
  • Perform invoice coding and submit invoices to corporate office for payment.
  • Support meeting and conferencing needs.
  • Record daily general journal/ledger entries accurately and on time. Support month-end and year-end closing activities in accordance with local/international accounting standards.
  • Preparing and organizing meetings and company events.
  • Assist on the implementation of accounting processes and strong internal controls to ensure governance over accounting and reporting activities.
  • Check bank statements on a daily basis and reconcile with the payments, receivables, and report daily balance to Group.
  • Compile and distribute financial information, including ad hoc reports and analyses as requested by internal stakeholders.
  • Respond to queries and requests for information by external auditors to facilitate the auditing process and statutory financial reporting.

Travel management:

  • Searching for accommodation, air tickets, car rental, and subscriptions to events.
  • Documenting travel expense reports, checking on Company policies, and seeking corresponding approvals.
  • Update and check the VISA card movements.
  • Assist on the Commercial Director’s travel agenda.

Suppliers and service provider contracts:

  • Office supplies and maintenance (including insurance and all local requirements).
  • Monitor office supplies inventory and place orders.
  • Maintain office equipment (ensure copiers and office material are operational and fully stocked).
  • Check if the office services are being provided as contracted.

Required Skills and Qualifications

Educational background / Work experience

  • Educational Background in business administration, finance, or similar qualification.
  • Professional experience in accounting/financial – minimum of 3 years.
  • Professional experience in Administrative Management – minimum of 3 years.

Language skills

  • Fluent in English and German is mandatory (written and spoken).
  • Portuguese (written and spoken) - valued.

Computer Literacy

  • High knowledge of MS-Office products (Excel, Outlook, PowerPoint, Teams, Word...).
  • SAP ERP experience.
