As the Admin Expert, you will provide high quality, professional and effective administrative, project management and operations support to Global Program Heads in the Oncology Development Unit in a global environment.


Your responsibilities include, but are not limited to:

  • Responsible for providing administrative support for 2-3 Global Program Heads; managing calendar for meetings/appointments (incl. key meetings of the Global Program Team).
  • Provide administrative support including heavy calendar management, purchase order tracking and creation.
  • Support organising and coordinating key meetings and department meetings including booking of venues for large meetings.
  • Actively participate in the planning, execution and implementation of projects (e.g., GPTlevel initiatives and events like facetoface meetings; potential contribution to site management activities)
  • Arrange and follow up on national and international travel arrangements/ reservations, involving multiple locations and individuals and process all related travel expenses.
  • Any other specific tasks relevant to the role of the manager or function including meeting preparation, communication support
  • Work processes in own area of responsibility: Supports optimization of current processes and/or introduction of new or modified processes.
  • Handling of administrative projects tasks with clearly defined content and time limitations. Acts as a team member for administrative projects & manages the administrative part of special tasks.
  • Takes care of purchase orders in SAP requested by team
  • Guarantee a smooth onboarding for new associates within area of responsibility. Take over the supervising for colleagues in the administrative area (e.g., apprentices)
  • Building representative from the users side (Onco group): To be the contact person for any issues, requirements and quality of life. That means working closely with the facility coordinator, CBRE and the REFS team.

Role Requirements

  • University Degree or Fachhochschule
  • Extensive experience as an Administrative Expert or in a comparable position
  • Excellent administrative skills/experience paired with solid project management experience
  • Relevant experience in an international, multicultural, dynamic environment which requires very good organizational skills
  • Proficiency in English (spoken and written), additional proficiency in German preferred
