Role Description

The Assistant Project Manager supports the planning, coordination, and execution of projects under the supervision of the Project Manager. This role involves tracking project progress, preparing documentation, managing communication among stakeholders, and ensuring that tasks are completed on time and within budget. The Assistant Project Manager acts as a bridge between teams, helping maintain organization, efficiency, and alignment with project goals.

Key Responsibilities

  • Assist the Project Manager in planning, scheduling, and monitoring project activities.
  • Support the coordination of internal teams, vendors, and stakeholders to ensure smooth communication and task execution.
  • Prepare and maintain project documentation, including reports, meeting notes, schedules, and progress updates.
  • Track project milestones, deliverables, and resource allocation to ensure timelines are met.
  • Assist in identifying project risks and issues, and support in developing mitigation strategies.
  • Participate in meetings and contribute to discussions related to project scope, budget, and performance.
  • Support quality assurance by monitoring progress and ensuring deliverables meet defined standards.
  • Help manage procurement and logistics for project materials and services when required.
  • Maintain accurate records of project expenses and assist in preparing cost reports.
  • Provide administrative and operational support to the Project Manager as needed.

Qualifications

  • Bachelor's degree in Project Management, Engineering, Business Administration, or a related field.
  • 1–3 years of experience in project coordination, management, or support roles (internships acceptable for entry-level).
  • Basic understanding of project management principles, methodologies (Agile, Waterfall), and tools (MS Project, Jira, Asana, Trello).
  • Strong organizational and multitasking skills, with attention to detail and accuracy.
  • Excellent communication and interpersonal skills for working with diverse teams.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and collaborative tools (Teams, Slack, Google Workspace).
  • Ability to work under pressure and adapt to changing priorities.
  • Analytical mindset with problem-solving and critical-thinking abilities.
  • Professionalism, reliability, and proactive attitude.
  • English proficiency required; Japanese language skills are an advantage for Japan-based roles.
