Role Description

The Assistant Project Manager supports the planning, coordination, and execution of projects to ensure they are completed on time, within scope, and within budget. Working closely with the Project Manager and cross-functional teams, this role helps oversee project schedules, track deliverables, and manage documentation. The Assistant Project Manager serves as a key communication link between internal departments, clients, and external partners, ensuring effective collaboration and progress reporting. The ideal candidate is detail-oriented, organized, and proactive, with strong analytical and interpersonal skills. This position provides valuable exposure to project management methodologies and serves as a foundation for future leadership in project delivery.

Key Responsibilities

  • Assist the Project Manager in planning, organizing, and coordinating all phases of project execution.
  • Track project milestones, timelines, and budgets, ensuring that all activities align with project objectives.
  • Prepare and maintain project documentation, including meeting minutes, progress reports, schedules, and change requests.
  • Support communication between stakeholders, clients, and project team members to ensure transparency and alignment.
  • Help identify project risks, issues, and dependencies, and assist in developing mitigation and contingency plans.
  • Coordinate procurement, logistics, and resource allocation for project-related materials and services.
  • Participate in project meetings, prepare presentations, and follow up on action items.
  • Assist in reviewing technical documents, drawings, and specifications for accuracy and compliance.
  • Contribute to process improvement and standardization of project management tools and templates.
  • Support quality control efforts by verifying deliverables and ensuring adherence to company and client standards.
  • Collaborate with finance and administrative teams to manage project budgets, invoices, and financial tracking.
  • Ensure compliance with safety, environmental, and regulatory requirements throughout project execution.

Qualifications

  • Bachelor's degree in Project Management, Engineering, Construction Management, Business Administration, or a related field.
  • 1–4 years of experience in project coordination, project support, or assistant project management roles.
  • Familiarity with project management methodologies (Agile, Waterfall, or PMI framework).
  • Proficiency in project management software (e.g., MS Project, Asana, Trello, Primavera) and Microsoft Office Suite.
  • Strong organizational, analytical, and multitasking abilities with a focus on detail and accuracy.
  • Excellent communication and interpersonal skills for effective collaboration with internal and external stakeholders.
  • Ability to manage competing priorities in a fast-paced and dynamic environment.
  • Problem-solving mindset with a proactive and results-oriented attitude.
  • Knowledge of budgeting, scheduling, and procurement processes is a plus.
  • Certifications such as CAPM, PMP, or PRINCE2 (or willingness to obtain) are advantageous.
  • Fluent in English, both written and spoken; additional language proficiency is a plus.
