**Position Description**:
The Executive Administrative Assistant reports to the VP EHS. The role is responsible for supporting the VP EHS, Sr. Directors for the NA, LATAM, ASPAC and EMEA Regions and the Sr. Director, Workplace EHS Excellence and their organizations.

The Executive Administrative Assistant will provide highly visible and critical executive support. The Executive Administrative Assistant must prioritize meetings, and re-prioritize quickly to adjust to urgent issues. Have the ability to organize and prioritize multiple tasks and to work under mínimal supervision. The person must have attention to detail, be proactive and be deadline driven. Strong organization, prioritization and follow-through skills are essential for arranging and adjusting to a changing daily schedule for an executive with global responsibilities.

**Key Responsibilities**:

- Provide full domestic and international travel planning including passport/visa processing as needed.
- Handle all aspects of face-to-face team, regional and project meetings including assembling presentations, travel, global connect, agendas, minutes and follow-up of action items
- Handle all logistics associated with the interviewing process and Workday transactions
- Responsible for handling and maintaining confidential records or reports
- Manage team SharePoint or Teams sites, including administrative rights and keeping all files current and organized
- Coordination of virtual townhall meetings including working with presenters and setting up operated assisted virtual meetings
- Budget management including opening POs and tracking against budget line items, quarterly accrual and cross-charge management
- Expense report and calendar management
- Provide support for projects and EHS/OH initiatives as needed
- Provide general admin support to the staff of the Sr. Directors as needed including, but not limited to, travel, meetings, purchase orders
- This position is generally varied, including complex administrative duties and project-oriented assignments which require the use of sound judgment and discretion, confidentiality, independent assessment and resolution of complex situations/problems.
- Must have the ability to respond to shifting priorities.
- Follows up on items delegated to others by executive. Screens calls and responds to complex inquiries from all levels of the organization and/or external sources regarding a variety of questions. Responding to inquiries from government officials is sometimes required
- Must have ability to make last-minute changes to calendar due to shifting priorities
- Must often make decisions without prior approval from assigned leaders

Position Requirements:

- Education: Minimum HS/ Secondary Education or Equivalent
- Experience: A minimum of 6-8 years of administrative experience
- The ability to multi-task, strong organizational skills, work with mínimal supervision, and achieve results in a fast-paced environment
- Excellent verbal and written communications skills, collaboration and teamwork skills
- Demonstrated intermediate or higher skills in Microsoft Office programs (Word, Excel, PowerPoint, Outlook, SharePoint and Teams)
- Experience managing multiple complex calendars via Outlook
- Must be able to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, high-profile and rapidly changing environment
