JOB DESCRIPTION:
The Administrative Assistant/Office Manager is based in Frankfurt and provides administrative support to our DACH team and manages general office matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Administrative roles, including, but not limited to:
- Executive Assistant to the Head of Client Solutions for the EMEA region
- Support of Co-Geschäftsführer and other professionals
- Calendar scheduling/management; arranging meetings and conference calls
- Coordinating travel arrangements
- Preparing expense reports
- Fulfilling routine administrative requests such as copying, mailing, etc.
- Maintenance of contacts, office files and reports
- Special events and project coordinator
- Working with IT to trouble shoot technology issues
- Working with graphics to prepare presentation materials
- Office Manager roles, including, but not limited to:
- Managing inventory of supplies
- Maintenance of a tidy and orderly office
- Liaison with building management and security
- Special projects and marketing:
- Marketing of Hamilton Lane Products, including learning the business model and articulating our investment focus to inbound callers
- Assistance addressing client-related requests
NECESSARY QUALIFICATIONS; Education and/or Experience:
- BA/BS degree or business apprenticeship (kaufmännische Lehre)
- Fluency in English and, German
- Minimum 5 year’s senior administrative assistant experience
- Experience with Microsoft Office programs (Outlook, Word, Excel, Power Point)
- Knowledge of financial services industry helpful
- Strong work ethic, positive attitude, and good judgement
- Desire to work as part of a team with a strong focus on client needs
- Excellent communication and listening abilities
- Strong organizational skills; ability to manage projects effectively and on-time
- Reliable. Ability to exercise discretion and maintain confidentiality
- Ability to handle multiple tasks/assignments
