**General Description**

The Project Team Assistant, reporting into the Project Management Office (PMO), works closely with project and program managers to support the execution of project management activities to deliver projects and programs on time, on scope and within budget. She/He is also responsible for making sure that project documentation and organization is consistent with PMO’s project management standards. The Project Team Assistant will assist in the development of work plans, tracking the work progress against schedules and the creation/presentation of management reports on project status and outcomes amongst other project/program documents.

This position requires good verbal and written communication skills. The individual must be comfortable using project management terminology to communicate project status, risks, issues and dependencies. This highly organized individual must be able to work with internal customers to document project scope, schedule meetings, and record accurate meeting minutes.

**Key Responsibilities**
- Coordinates project meetings as requested, including scheduling, agenda management, meeting logistics and post meeting support, including notes and recording action items
- Tracks activities, meeting action items and deliverables for projects
- Assists project/program manager in creating project management materials, utilizing advanced features of Microsoft Excel, PowerPoint and other Office tools as appropriate
- Assists project/program manager in communicating plans, deliverables and follow up
- Manages the organization of project related documentation
- Ensures compatibility and consistency of project management practices with current company standards
- Assign tasks to internal teams and assist with schedule management
- Act as the point of contact and communicate project status to all participants

**Key requirements**
- Proficiency with standard MS Office package, experience with MS Project desired
- Exceptional organizational skills, including multitasking and time-management
- High level of attention to detail
- Excellent interpersonal skills
- Excellent communication skills
- Results driven; self-starter, problem solver

**Required Education / Experience**
- Bachelor’s degree in business administration, management or a related field
- 1-2 years prior experience as project coordinator, administrator or personal assistant
- Project management entry qualification (PRICE Foundation/Practitioner or equivalent) a plus
