Job Summary
We are seeking a highly organized and detail-oriented Project Coordinator Event Specialist to join our team. The successful candidate will provide operational and administrative support for our educational events, ensuring seamless execution and logistics.
Key Responsibilities
- Support event deployment and logistics, including pre-event planning, on-site execution, and post-event reconciliation.
- Provide operational and administrative support for all related event activities, maintaining accurate records in our event management system.
- Manage event participants for assigned educational events, ensuring timely communication and coordination.
- Support the events execution on-site as a backup to the Event Owners, providing expertise and assistance as needed.
- Facilitate smooth collaboration within Operational Teams, including Event Owners and Event Specialists.
- Manage the collaboration with local agencies and suppliers, ensuring efficient and effective partnerships.
- Act as the cost expert for events, managing expenses and driving invoice handling and P&L reporting.
- Manage CME accreditation and compliance approval, ensuring adherence to regulatory requirements.
- Manage event closing for final reconciliation, ensuring accurate financial records and reporting.
Requirements
- Bachelor's degree in a relevant field, such as hospitality, event management, public relations, communications, or marketing.
- Proven record of professional experience in event organization or project management, with a minimum of 3-5 years.
- Experience in medical events or course organization is an advantage.
- Strong organizational, project, and event management skills, with excellent communication and problem-solving abilities.
- Ability to build and maintain relations with healthcare professionals, with a collaborative and solution-focused approach.
- Proven team player with consistent reliability and effective support.
- Knowledge and experience of relevant systems, such as Sales Force.
- Fluent written and verbal English is a must, with knowledge of other relevant languages in the region an asset.
