Job Summary

We are seeking an experienced Event Coordinator Specialist to join our team at the AO Foundation. As a key member of our Operational Team, you will be responsible for supporting the deployment and logistics of our events, providing operational and administrative support, and managing event participants.

Key Responsibilities
  • Support event deployment and logistics, including pre-event, on-site, and post-event activities
  • Provide operational and administrative support for all related event activities and maintain activities in the event management system
  • Manage event participants for assigned educational events
  • Support the events execution on-site as a backup of the Event Owners
  • Facilitate smooth collaboration within Operational Teams (Event Owners and Event Specialists)
  • Manage the collaboration with local agencies/suppliers
  • Act as the cost expert of the events, managing expenses and driving invoice handling and P&L reporting
  • Manage CME accreditation and compliance approval and data in Concerto
  • Manage event closing for final reconciliation
Requirements
  • Bachelor's degree in a relevant field (e.g., hospitality, event management, public relations, communications, marketing) or higher education
  • Proven record of professional experience in event organization or project management (3-5 years)
  • Experience in medical events/course organization is an advantage
  • Strong organizational, project, and event management skills
  • Good communication skills and ability to build and maintain relations with Health Care Professionals
  • Good problem-solving and strong analytical skills, with the ability to prioritize tasks
  • A collaborative, solution-focused approach, with the ability to collaborate well with others and work cross-functionally across the organization
  • Proven team player through consistent reliability and effective support
  • Knowledge and proven experience of relevant systems (e.g., Sales Force)
  • Fluent written and verbal German and English is a must; knowledge of other relevant languages in the region is an asset
