Event Management Coordinator for Medical Initiatives

Key Responsibilities
- Assist in the planning and execution of events, ensuring seamless logistics before, during, and after each occasion.
- Provide operational and administrative support for all event-related activities, maintaining accurate records in the event management system.
- Oversee participant management for designated educational events.
- Support on-site event execution as a backup for Event Owners.
- Facilitate effective collaboration among Operational Teams, including Event Owners and Event Specialists.
- Manage relationships with local agencies and suppliers.
- Act as the financial steward for events, overseeing expenses and budget management.
- Drive the handling of invoices and prepare P&L reports.
- Coordinate Continuing Medical Education (CME) accreditation processes.
- Ensure compliance approvals and manage data within the Concerto system.
- Oversee event closure processes for final reconciliation.
Qualifications
- Bachelor's degree in a relevant field such as hospitality, event management, public relations, communications, or marketing.
- 3-5 years of proven experience in event organization or project management.
- Experience in organizing medical events or courses is advantageous.
- Strong skills in organization, project management, and event coordination.
- Excellent communication abilities and capacity to build relationships with healthcare professionals.
- Strong analytical and problem-solving skills, with a proven ability to prioritize tasks effectively.
- A collaborative and solution-oriented mindset, with the ability to work cross-functionally.
- Demonstrated reliability and effective support as a team player.
- Familiarity with relevant systems, such as Sales Force.
- Fluency in written and spoken German and English is essential; knowledge of additional languages is a plus.
