Job Overview

We are seeking an Office Operations Specialist to join our growing Facility Management organization at a client in Zürich (ZH).

Key Responsibilities
  • Welcome visitors to the client offices, providing professional support where required to customers, visitors, staff, and external third-party contractors.
  • Assist with day-to-day operational office coordination tasks.
  • Provide first-level support to employees for AV, IT, and office-related topics.
  • Oversee mailroom activities, including incoming and outgoing letters, tracking activity, and courier services.
  • Support close collaboration with the Area Facilities Manager on health and safety compliance, including work permits, BCP, risk assessments, and accident reporting.
  • Ensure smooth day-to-day operations by collaborating with handymen or technicians.
  • Coordinate switchboard activities, including inbound and outbound calls according to client internal procedures.
  • Perform general office administration and inventory tasks as required.
Person Specification/Requirements
  • Prior experience in office management, front-of-house, reception, or customer-facing roles is essential.
  • Strong administrative and communication skills are necessary.
  • A good working knowledge of Microsoft Office packages and IT literacy is required.
  • Numerical skills and some financial acumen are advantageous.
  • Excellent accuracy and attention to detail are crucial.
  • Fluency in German is mandatory, with basic verbal knowledge of French and English also required.
