**The Role**

We are seeking a highly skilled and experienced Association Administration Assistant to join our team at MCI Benelux SA.

The successful candidate will provide administrative support to our association management teams, ensuring the delivery of high-quality services and value to our clients. This includes coordinating meetings, preparing agendas, reports, and presentations, as well as facilitating meetings and tracking action items.

Main Responsibilities

  • Coordinate meetings, create agendas, and distribute meeting minutes.
  • Manage logistics, including travel arrangements and expense management.
  • Assist with corporate partnership deals and sponsorship agreements administration.
  • Oversee grants and awards administration.
  • Maintain governance documents, policies, and other relevant materials in a centralised repository.
  • Liaise with volunteer groups and committees, providing guidance, resources, and feedback.
  • Handle member, partner, and public inquiries, directing them to the appropriate person or department.
  • Organise and maintain files, records, and databases.

Your Expertise and Qualifications

  • Eligibility to work in the EU.
  • At least three years' experience in an administrative or support role, preferably in a non-profit or association setting.
  • Excellent communication skills in English (C1 level), knowledge of another language is an asset.
  • Proficiency in Microsoft Office, Google Suite, and web-based tools.
  • Ability to work independently and collaboratively with a diverse team.
  • Strong organisational, time management, and problem-solving skills, with the ability to prioritise and multitask.
  • You are flexible, agile, and committed, especially during busy periods.
  • Knowledge of and interest in the association's field and mission.
  • Willingness to travel abroad for certain meetings and events.
