As a fast-growing company with an ever-growing Human Resources team, we are seeking an Executive Assistant & Chief of Staff to support our Global Head of HR in bringing ideas and plans to life, by overseeing projects, enabling the wider team, and providing organisational and administrative assistance.
What you’ll be doing:
- Executive Assistance - Act as the Executive Assistant and “Chief of Staff” to our Global Head of HR: manage his agenda and inbox, prepare decisions & reports for important meetings as well as take minutes. You will make him more effective, by supporting him with his travels, expense claims and other administrational tasks. At the same time, you will also represent him in meetings and speak on his behalf during absence/holidays.
- Project Management - Take over coordination and management of to-dos that are being led by several HR Teams across countries. Help to set priorities and deadlines, gather KPI’s and ensure projects are completed in a timely manner. Depending on your background, you can also lead your own projects and implement your creative ideas.
- Administration & Team management - You will be the “spider in the web” and coordinate global HR activities. You’ll manage the Group HR Calendar, prepare important meetings, organize Team events, arrange 1on1 meetings and follow up on agreed action items. You will follow up on past agreements as well as think-ahead to ensure deliverables and deadlines are met.
What you bring:
Do you have an eye for detail and a structured working style? Do you possess strong communications & organizational skills with the ability to hit deadlines? - If this sounds like you, then take a look at our technical requirements:
- Professional experience acting as an EA or Chief of Staff for Senior Leadership (Ideally CHRO or similar)
- Experience working within a multinational start-up or SME
- Project Management experience, HR related projects would be beneficial
- Advanced capabilities with MS Office (PowerPoint, Word and Excel) and some exposure to Workday or similar HRIS
- Fluency in English (written and spoken) is essential, and additional solid knowledge of either German and/or Spanish
