Executive Assistant to The CEO

**Job Summary**:
This role requires relocation to Switzerland and the assistant will play a pivotal role in optimizing the CEO’s time, managing critical business relationships, and representing BlueSpark AG at various levels.
**Key Responsibilities**:
- Provide sophisticated proactive calendar management for the CEO ensuring efficient scheduling and organization of meetings and appointments.
- Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
- Attend meetings, take notes, and produce detailed minutes. Follow up on action points with relevant stakeholders.
- Organize and manage all personal and professional travel arrangements for the CEO, including lodging, transportation and itinerary planning. Anticipate and coordinate point-to-point travel needs.
- Prepare and compile documents for meetings and business trips; manage communication and follow-ups.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO.
- Provide oversight and guidance to projects of high importance, and follow up on the progress to ensure deliverables are met.
- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
- Manage, coordinate, and arrange the CEO’s personal appointments and schedules.
- Represent the CEO by welcoming visitors, arranging company dinners and others.
- Facilitate smooth communication between the CEO’s office and internal departments; demonstrate leadership to maintain credibility, trust, and support with management staff.

- Manage projects, follow through with key stakeholders to ensure timely completion.

**Qualifications**:
- Willingness and motivation to relocate to Switzerland.
- Experience as an Executive Assistant, preferably within the trading or financial sectors.
- Outstanding organizational and time management skills.
- Discretion and confidentiality at the highest level.
- Proficiency in Microsoft Office Suite and experience with virtual meeting technology.
- Exceptional organizational skills and impeccable attention to detail.
- High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, and clients.
- Proficient in Microsoft Office, with the aptitude to learn new software and systems.
- Flexible schedule, with the ability to work overtime as needed.
- Strong decision-making ability and attention to detail.
**Preferred Qualifications**:
- Bachelor’s degree in Business Administration or a related field.
- Experience working internationally or with a diverse, multilingual team.
- A proactive approach to problem-solving with strong decision-making skills.
- Professional appearance and the ability to represent the CEO in various forums.
- Experience in the trading sector or related financial industries.
- Presentable and professional in appearance for representation at conferences and meetings. Demonstrated ability to think critically and with discretion when evaluating matters pertaining to the CEO’s agenda and company operations.

- The starting gross salary will be 60,000 CHF per year. In addition, we have designed a performance-based salary scaling plan that can increase your compensation over time.
