We are looking for a Management/ Executive Assistant to perform a variety of administrative tasks and support our Division senior-level managers at CALID Switzerland in Fällanden.

Aufgaben/Verantwortlichkeiten:

- Act as the point of contact among Executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Manage scheduling for Division Executive(s)/ key Division Executive (possibly two to three)
- Draft, review and send communications on behalf of Division Executive(s)
- Maintain confidential and sensitive information
- Organize and prepare meetings, including gathering documents and attending to logistics of meetings
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials
- Organize team communications and plan events, both internally and offsite
- Work proactively and proactively follow up / request on feedback
- Keep the Executive (s) advised of time-sensitive and priority issues, ensuring appropriate follow-up
- Assist the Division Executive (s) in the development of presentations and white papers for internal and external use
- Answer and respond to phone calls, communicate messages and information to the Executive (s)
- Coordinate travel arrangements
- Process of all travel expense reports for the executives
(Prepare, reconcile, and submit expense reports)
- Maintain various records and documents for Company Executive(s)
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed

Qualifikationen:

- Work experience as an Executive Assistant, Personal Assistant or similar role/ Three to five years’ prior experience in supporting a senior executive or team
- Exceptional communications skills, the ability to pay attention to detail and stay organized
- Comfortable interacting with High-Level Executives
- Strong interpersonal skills, exhibits sound judgment with the ability to prioritize
- Good time-management skills and the ability to problem-solve and multitask
- Excellent written and verbal communication skills, also editing, and proofreading skills
- Energetic and eager to tackle new projects and ideas
- Excellent understanding of frequently used computer software and programs, such as Microsoft Office, Microsoft Office Suite (Outlook, Teams, Word, PowerPoint, and Excel) with aptitude to learn new software and systems
- Resourceful, can-do attitude
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
- Excellent German and English
