Details of employment

You will be based in Geneva, Switzerland. The IAS offers the possibility of working from the legal residence for up to 11 days per month for Swiss-based employees and up to eight days per month for French border-zone employees. You will report to the Manager, Development and Partnerships. The position is open-ended and full-time to start as soon as possible.

Purpose of the position

The Associate Resource Mobilization and Development Officer will support the department in designing, implementing, and monitoring strategies to mobilize resources, establish and manage partnerships, and achieve fundraising targets. The Associate will work closely with the Development and Partnerships team and collaborate across the organization to ensure the IAS builds and sustains strategic relationships with government agencies, philanthropic organizations, corporate sponsors, and other key partners. This role involves a mix of analytical, creative, and operational responsibilities. In addition to performing administrative tasks such as tracking funding opportunities and partnerships, managing contracts, and ensuring compliance with funder and partner requirements, the associate will conduct research to identify and assess new funding opportunities, assist in drafting of compelling proposals and reports tailored to donors and sponsors, and coordinate IAS engagements with external partners. The ideal candidate is detail-oriented and proactive, with an understanding of what makes donor and sponsor proposals effective. They will have the ability to navigate processes that enable successful resource mobilization and external engagement.

Main responsibilities

Resource Mobilization & Fundraising

  • Contribute to the development and implementation of resource mobilization strategies for IAS conferences and programmatic activities, collaborating with team members and colleagues across the IAS to meet revenue targets and explore new funding opportunities.
  • Conduct research and market analysis to identify and assess potential funding sources, including grants, donors, and sponsors.
  • Support the development and submission of high-quality proposals, concept notes, and grant applications tailored to specific donor/sponsor requirements.
  • Support the processing of agreements, invoicing, preparation of handover notes for implementation, drafting report, financial reconciliation, and grant closures.
  • Maintain and regularly update a database of donor & sponsor prospects, including timelines and deadlines for funding opportunities.

Partnership and Donor Engagement

  • Support the organization of donor and sponsor engagement activities, such as events, meetings (in-person or virtual), and briefings, including setting up meetings, preparing background materials (presentations, briefing notes, talking points), and drafting meeting minutes.
  • Assist in drafting Memorandums of Understanding (MoUs), partnership agreements, and other relevant documents.
  • Serve as the IAS focal point for due diligence processes to ensure compliance with partner and donor requirements across the organization.

Coordination, Administration & Information management

  • Assist in monitoring the implementation of funded projects to ensure compliance with donor requirements.
  • Coordinate with internal teams for data, content, and updates required for fundraising activities.
  • Provide administrative support, including budget tracking, invoicing, maintaining accurate records of activities and processes, scheduling team meetings.
  • Update tools for donor management, proposal/report development, contracting and award management, fundraising targets and progress tracking.
  • Support improvements and user adoption of internal tools used in IAS resource mobilization and development processes.

You will need to perform any additional tasks as needed, such as representing the Development and Partnerships department in cross-organizational working groups.

Academic qualifications

  • Ideally, Master’s degree in business administration, international relations, Development studies, communications, global health, social/political sciences or a related field.

Experience

  • At least 2 years of work experience in resource mobilization, fundraising, partnerships, and/or project implementation in the HIV, global health and/or international relation / development sectors.
  • Proven track record of supporting successful fundraising efforts or partnership initiatives.
  • Although not essential for this position, the IAS acknowledges the value of the experience of living with HIV and will consider this when evaluating applications.

Skills/competencies

  • Familiarity with resource mobilization and development processes, including results-based programme design and budgeting.
  • Excellent analytical and drafting skills, including the ability to adjust writing styles to different audiences (such as technical, programmatic, policy; public, corporate).
  • Strong attention to detail in delivering quality outputs.
  • Excellent communication skills and ability to engage with internal and external stakeholders across hierarchies and from different professional and cultural backgrounds.
  • Pro-active attitude and ability to effectively organize work with multiple and shifting priorities.
  • Ability to work independently and as part of a team, combined with a good sense of when to seek counsel.
  • Strong computer skills in the Windows environment; experience with CRM a plus.
  • Understanding of HIV and/or the global health landscape more broadly a plus.
  • Willingness to travel internationally (1-2 business trips per year).

Languages

  • Excellent English language communication skills, both written and oral (native-level proficiency); knowledge of other languages is an asset.
