Voltiris, an award-winning Lausanne-based company developing solar energy solutions for agriculture, is recruiting an Administrative and Finance Assistant to support our team in managing operational, financial, and administrative tasks, ensuring smooth daily operations.
As an Administrative and Finance Assistant, you will handle tasks such as document organization, financial entries, and general administrative duties. Your contribution will enhance the company’s efficiency, support financial accuracy, and ensure the timely execution of essential processes.
Key Responsibilities
- Organize, sort, and file financial documents and invoices, ensuring proper documentation and record-keeping in accordance with Voltiris's internal procedures.
- Accurately input financial transactions, including invoices and receipts, into Voltiris’s internal accounting system (e.g., software such as Odoo or similar).
- Perform basic accounting functions, such as reconciling accounts, managing petty cash, and ensuring compliance with accounting standards and company policies.
- Support HR processes, including preparing contracts, assisting with onboarding new employees, and liaising with the fiduciary to ensure accurate payroll and employee record management.
- Manage incoming and outgoing mail, including organizing deliveries and ensuring timely processing of postal items (may involve occasional trips to the post office).
- Provide general administrative support to the team, including assisting with scheduling, communication, and other day-to-day tasks as needed.
Skills & Qualifications
- Proven experience as an executive assistant, accountant, or in a secretarial role, ideally with involvement in annual financial audit processes or related fields.
- A CFC in accounting, business administration, or commerce is an advantage.
- Exceptional organizational skills with attention to detail.
- Proficiency in Microsoft Office tools (Word, Excel) and other accounting software.
- Fluency in French and English.
