Private and Office Assistant - Family Office

Overview
We have an excellent opportunity for an experienced Office Assistant to join a busy Family office located in Zurich.

The role will be 100% workload and based on-site.

Main responsibilities

  • First point of contact for phone calls, correspondence and queries in both German and English
  • Arranging travel and accommodation requirements
  • Managing expenses and petty cash
  • Organising company events (e.g. Summer & Xmas Party)
  • Scheduling meetings & attending any that require minutes to be taken.
  • Order, negotiate and maintain office supplies, stationery and IT equipment as needed
  • Responsible for IT with support from our external IT partner
  • Support the Personal Assistant to the key client
  • Participating in special projects to support the team, management and key client
  • Assist with property management: liaise with staff, suppliers and third parties when necessary

Your skills:

  • A minimum of 3 year's proven experience within an Office
  • Excellent communication skills in German and English, Spanish is a plus
  • High level of commitment, discretion and confidentiality
  • Able to use you Initiative and anticipation of needs
  • Attention to detail and problemsolving skills
  • Team player and great interpersonal skills
  • Independent and structured way of working
  • Driver's licence / own car


For this position, we can only consider Swiss nationals, EU citizens or professionals possessing a valid work permit for Switzerland.
