Purpose of the Position :

The purpose of the position is to provide high-quality administrative support services to the Director’s Office, to ensure that routine services and activities within the administrative domain are properly implemented.

Objectives of the Programme:

The objective of the Centre is to provide trusted ICT services and digital business solutions to its Clients and Partner Organizations.

Main duties and responsibilities:

The incumbent will work under the direct supervision and guidance of the Executive Assistant to the Director and in close collaboration with the teams within the division. The incumbent could be requested to do any other tasks of similar level in related fields.

Within delegated authority, the incumbent will perform the following duties and responsibilities:

For the Director’s Office Assist the Executive Assistant in maximizing the effective use of the Director’s time, ensuring adequate preparation for and follow-up of meetings.Draft and review documents and other materials, potentially of a confidential nature.Interact with contacts internally and in other organizations, as well as with vendors, Governments, Permanent Missions, etc.Provide back-up support to the Executive Assistant. For the DO Division: act as the focal point for the Division for administrative processes and their correct implementation across all teams. For Duty Travels: organize duty travels for Geneva-based personnel in line with existing policies and collaborate with peers in other duty stations. For Office Management: screen and monitor correspondence and phone calls, answer routine questions, and provide back-up support to the local administrative assistant.
