Your Role

We are seeking a highly organized individual to execute critical operational tasks, maintain regulatory compliance documentation, and manage key administrative duties.

We are looking for an Operations Assistant
to:

  • Assist the Head of Operations in maintaining GIP's robust FINMA compliance framework.
  • Prepare and review regulatory documentation as required and support audit yearly preparation.
  • Draft and update internal operational policies and procedures (SOPs) across various functions (e.g., HR, IT, Administration).
  • Support process mapping and standardization initiatives to enhance clarity, efficiency and control.
  • Execute defined operational projects.
  • Provide comprehensive calendar management for management, including scheduling meetings, coordinating travel, and managing time zones.
  • Handle diverse operational and administrative tasks, including HR administration support.
  • Coordinate internal and external events, ensuring smooth logistics and execution.
  • Oversee client engagement, including gift sending.

Your Profile

  • Passionate about your work and dedicated to contributing to the operational success of our firm.
  • Eager to expand your knowledge in compliance, operations, and automation to enhance your skills and develop in your role.
  • Prior experience in an administrative or support role, ideally within a regulated financial institution (e.g., Asset Management, Banking).
  • Exceptional organizational skills, a process-driven approach, and strong attention to detail.
  • Understanding of the importance of regulation, confidentiality, and a proactive, hands-on attitude.
  • Fluency in both German and English
