Vitamin Well Group is growing in Switzerland, and to support this expansion we are looking for a Logistics and Customer Service Coordinator. We are a fast-paced, high-growth company where structure, precision, and proactive problem-solving are valued. You will join our Swiss organisation and be based locally, reporting directly to the Managing Director.

About the role

This is a hands-on operational role where you will play a key part in delivering excellent service across our Swiss business. Working closely with Sales, Logistics, and Finance, you will manage customer orders across both B2B and D2C channels, ensuring smooth execution and consistently high service levels.

You will be part of the Operations team for the Swiss market, working alongside your colleague to secure all daily order handling, logistics coordination, and customer service processes. Each of you will hold defined areas of responsibility, while maintaining full cross-coverage to ensure continuity and flexibility.

You will also collaborate regularly with the Global Operations team at our Swedish HQ to align on best practices, share insights, and support consistent processes across markets.

In short, your responsibilities will be to:
  • Order management: Process and manage orders from receipt to delivery, ensure correct pricing, issue invoices, maintain stock reconciliation, and secure on-time delivery.
  • Customer service: Handle customer and consumer inquiries, resolve issues promptly, manage complaints, and secure high satisfaction levels.
  • Logistics coordination: Collaborate with 3PL providers, transport partners, and Sales to optimise order fulfilment and daily execution.
  • Inventory management: Monitor and maintain accurate stock levels, preventing stockouts or surpluses.
  • Process and system alignment: Work closely with HQ to align on best practices, coordinate improvements, and support accurate reporting.
  • Operational collaboration: Contribute to a strong two-person Operations function by sharing knowledge, coordinating daily priorities, and ensuring continuity across responsibilities.
  • Continuous improvement: Identify opportunities to improve processes, reporting, and collaboration with both Swiss and international teams.

Who you are

You bring both an eye for detail and a structured, solution-oriented mindset. You enjoy creating clarity, solving problems, and working closely with others to ensure that daily operations run efficiently. With a mix of customer focus and analytical ability, you are motivated by driving both daily excellence and continuous improvement.

Essential skills to succeed
  • 1–2 years of experience in customer service, order management, logistics, or a similar operational role
  • Hands-on experience working with ERP systems and order management tools
  • Strong attention to detail and a reliable, structured approach
  • Analytical ability and confidence in working with digital tools and systems
  • Ability to perform at a high pace while maintaining accuracy
  • Excellent communication skills and a proactive, solution-oriented mindset
  • Fluency in German and English, French is a plus
