Executive Assistant

**Responsibilities**
- Calendar Management including making appointments and prioritizing the most sensitive matters for the CFO, Director of Finance & Controlling, and Corporate Counsel
- Travel Management and keeping track of itineraries and taking care of practicalities for the CFO, Director of Finance & Controlling and Corporate Counsel
- Supporting the broader Finance & Legal team from time to time on corporate actions, collection of signatures, office management-related topics
- Planning and scheduling meetings, sending reminders
- E-Mail Management and follow-up
- Catering arrangements for critical external meetings
- Office Management (for example kitchen, meeting rooms, lunch area, office material, mail)
- Sorting / distributing the mail | receiving / sending DHL shipments
- Greeting visitors | Maintaining visitor log
- Helping to keep the office tidy (dishwasher, coffee machine)
- Liaising with the Office Management /Executive Assistant in Zurich (orders, important meetings)
- Providing complete administrative support
- Keeping confidential information
- High-level support to the direct supervisor and other senior staff and ensuring that the needs of the direct supervisor and team are always met
- Performs additional duties as assigned (ad-hoc)
- Liaising with internal and external business partners
**Requirements**:
- Primarily good English knowledge with German a strong plus
- any additional language is a plus
- Microsoft Office Suite and IT savvy
- Time management and ability to meet deadlines
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Problem-solving and decision making
- Proactive and self-directed (able to work under little supervision)
- Good Interpersonal skills
- Ability to function effectively in a fast-paced environment
- Discretion and confidentiality
- Business sense and able to decipher priorities
- Occasional research on the web
