**Your responsibilities**:

- Managing the calendar, coordinating complex scheduling and calendar management, including making appointments with agendas, as well as content and flow of information to senior executives. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Plan and book all travel logistics and activities, including land transport and accommodation, as well as communicate those arrangements with a high level of detail and follow through, and complete expense reports
- Coordinate and organize all the JF, team meetings, town hall meetings, strategy workshops and team events: schedule meetings; send reminders and draft agendas; develop, compile, and distribute presentation materials; record meeting minutes on behalf, and organize catering and gift when necessary. Adhere to compliance with applicable rules and regulations by laws regarding management matters.
- Helping collect and preparing information for meetings and workshops with staff and outside parties; composing and preparing correspondence; maintaining contact lists.
- Providing administrative assistance, such as Preparing the presentation for the regular town hall meeting, drafting memos, accurately recording meeting minutes, and supporting and beautifying the presentations. Reading and analyzing incoming newsletters, announcements, memos, and submissions and distributing them to the organization as needed.
- Manage and organize the GPG's communication and announcement with employees by liaising with internal and external executives, preparing, writing, and sending the communication and announcement letters on the head of GPG's behalf (such as organization change, new employees onboard, employee leaving, or any organization matters, etc.)
- Manage communication with employees by liaising with internal and external executives on various projects and tasks. Maintain open communications with the other function team, including meeting regularly with their operations and technology coordinator and providing necessary information and documents.

**Your background**:

- Proven experience as an executive assistant (and virtual assistant) or other relevant administrative support experience
- In-depth understanding of the entire MS Office suite, solid skill in PowerPoint, and an attitude for learning fast the new software and systems
- Excellent written and verbal communication skills in English
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects, a proactive approach to problem-solving with strong decision-making skills
- Must be able to meet deadlines in a fast-paced, quickly changing environment
- Ability to work well within a cross-functional team environment and diverse communities, to organize a daily workload by priorities and to maintain the confidentiality of information related to the company and its employees
