LHH Recruitment Solutions, a recruitment and interim consulting firm, is recruiting for its client, a major actor from luxury industry, an Executive Assistant M/F with a good command of English, for a 100% permanent position.
**MAIN PURPOSE**
To provide business management, organization and administrative support to the International Retail Director and his reporting department.
**KEY RESPONSIBILITIES**
Executive support to the International Retail Director
- Assist on the agenda organization and consolidation (office/private), priority settings, travel
- Expense consolidation of the Retail International Directors, budget follow up
- Assists hotels and flight reservations
- Coordinates agendas with other EA of the International Commercial Department and third parties (Geneva/Paris)
- Works hand in hand with Retail Orchestration Manager, to prepare and debrief International Retail Meetings, Retail Committee meetings, this might include presentation support, minutes, etc.
- Office Management. Coordinates Stage facilities with Retail Solutions
- Suggests and implement personnel well-being initiatives (Bdays, celebrations, parties), feel good. Act as relay of information both ways
- Follows team vacations calendar and authorizations on employee policies (work from home, trips, allowances)
**Reporting and analytics**
- Retail KPIs report: weekly and on a monthly basis (Compliance, project roll out, performance dashboards)
- Spot dashboards for the controlling and business development purposes
- Finance budget control on T&E for the Intl Retail Department
**Missions and Projects**
- Works in anticipation of meetings and travel to prepare agenda and business decision needs
- Prepare special presentations when needed for the ICD Department. (Commercial HQ Leadership, Exco meetings, etc.)
- Consolidates and organizes internal communication for the Intl Retail Department. (Newsletters, weekly/monthly/annual meetings)
- Support Intl Director in the roll out of the new ICD organization
- Supports in the organization of Retail and commercial Meetings
- Watches competition activities from targeted sources and identifies benchmarks
- Follows competitors retail talent organizations and moves
**PROFILE**
Education: Bachelor degree in Business Administration or related field required. Masters ‘degree preferred.
Required experience: Minimum 10 years ‘experience in an office management capacity.
**Technical skills / abilities**:
- Proficiency in Microsoft Word, Excel and Power Point required.
- Working knowledge of mail processes, PowerPoint presentation skills, outlook agenda, Teams
- Bilingual (English) required, third language optional
