Job Summary

We are seeking a highly skilled Facilities Management Specialist to join our growing team in Basel. This role will be responsible for supporting the Area Facilities Manager, managing engineering call-outs, and overseeing day-to-day building operations.

Key Responsibilities:
  • Proactively support the Area Facilities Manager in ensuring smooth facility operations.
  • Coordinate all engineering call-outs, including scheduling and ensuring prompt responses.
  • Monitor and manage Preventive Maintenance (PPM) schedules and Asset Registers to ensure compliance with local regulations and capital planning.
  • Ensure Health and Safety compliance during contractor activities.
  • Oversight of vendor activity related to Cleaning and Maintenance, including Service Level Agreement (SLA) compliance.
  • Act as the main point of contact for all day-to-day building operations.
  • Ensure the safety and well-being of employees and building users.
  • Monitor seating plans, update floor plans, and desk numbering.
  • Main contact for Facility Services in the Basel and Zurich offices (travel required).
  • Budget Management: Accruals and financial planning.
  • Perform administrative tasks, such as creating purchase orders, issuing invoices, and updating documents.
  • Assist with scheduling and preparing meeting and conference rooms.
Requirements:
  • Strong knowledge of PC skills and MS Office.
  • Self-motivated and resourceful individual.
  • Good administrative skills and organizational abilities.
  • Service-oriented attitude combined with innovative thinking.
  • Excellent written and oral communication skills.
  • Working knowledge of predominant languages at the site and professional-level English.
  • Minimum 2 years of work experience in Facility Management or a similar position.
  • Customer service experience and ability to communicate at all levels.
