Business Operations Manager for Finance and Administration

At KVALITO AG, we are seeking a highly organized and proactive Business Operations Manager to join our team in Basel, Switzerland.
The successful candidate will be responsible for ensuring the seamless functioning of our daily operations, including office management, administration, finance, and accounting. This role involves a diverse range of responsibilities, such as coordinating internal activities, managing documentation, organizing events, and supporting bookkeeping processes.
About the RoleThis is a part-time position (60-80%) with flexible working hours and home office options. The ideal candidate will have 3+ years of experience in office management, administration, finance, or accounting and be proficient in Microsoft Office Suite and accounting software such as Bexio.
Key Responsibilities- Administration & Office Management:
- Serve as the main point of contact for managing company correspondence to maintain timely and effective communication.
- Organize and maintain company documents, ensuring compliance and easy access for relevant stakeholders.
- Create and distribute minutes for project and team meetings, ensuring accurate documentation.
- Manage office supplies and order promotional materials as needed.
- Support the planning and coordination of internal and external events, such as team meetings, workshops, and annual gatherings.
- Accounting & Finance:
- Assist with bookkeeping tasks, including accounts payable and receivable, and support operational accounting processes.
- Track employee work reports and assist with client invoicing.
- Manage invoices, payments, and VAT filings, and prepare withholding tax documentation.
- Financial Performance:
- Ensure invoices, payments, and expense reports are processed accurately and on time.
- Completed apprenticeship in office administration, tax, accounting, finance, HR, or a related field.
- Languages: Fluent in both German and English (written and spoken).
- 3+ years of experience in office management, administration, finance, or accounting.
- Proficiency in Microsoft Office Suite and accounting software such as Bexio.
- Flexible working hours and home office options.
